How to Export Orders
Simple 4-Step Process:
1. Go to Fulfillment Data Page:
- Click "Fulfillment Data" in sidebar
- You'll see all your orders
2. Filter What You Want to Export:
Don't want everything? Filter first!
Filter by Status:
- Click "All", "Pending", "Processing", "Completed", or "Cancelled"
- Only exports filtered orders
Filter by Date:
- Click date range filter
- Choose start and end dates
- Example: "October 1 - October 31" for just October orders
Filter by Pickup Location:
- Use center dropdown (if you have multiple)
- Export only one location's orders
3. Click "Export" Button:
- Look for "Export" or "Download" button
- Usually top-right of the page
- One click starts download
4. Open the File:
- Downloads as CSV file
- Open in Excel, Google Sheets, or any spreadsheet program
- All your data is there!

What's Included in the Export
Every Export Contains:
Order Information:
- Order ID (unique number for each order)
- Date created
- Status (Pending, Completed, Cancelled, etc.)
Customer Details:
- First and last name
- Email address
- Phone number
- Full delivery address
- ZIP code
Package Information:
- Package description
- Weight
- Dimensions (length, width, height)
- Quantity
Delivery Details:
- Scheduled delivery date
- Actual delivery date (if completed)
- Pickup location used
- Driver name (if assigned)
- Tracking number
Financial Information:
- Delivery fee charged
- Distance (miles)
- Payment method (last 4 digits of card)
- Date charged
Status Information:
- Current status
- Status history (all status changes)
- Timestamps for each status

Opening Your Export
In Excel:
- Download exports as .csv file
- Open Excel
- File → Open → Choose the .csv file
- Data appears in spreadsheet
In Google Sheets:
- Go to Google Sheets
- File → Import
- Upload tab
- Select the .csv file
- Click "Import Data"
In Numbers (Mac):
- Open Numbers
- File → Open
- Choose .csv file
- Opens in spreadsheet

Using Your Export
For Accounting:
Monthly Reconciliation:
- Export all completed orders for the month
- Sum the delivery fee column
- Match total to your bank/credit card statement
- Verify all deliveries accounted for
For QuickBooks/Xero:
- Export orders
- Format as needed for import
- Import into accounting software
- Categorize as delivery expense
For Analysis:
Find Busiest Days:
- Export all orders
- Count orders per date
- Sort by date
- See which days had most deliveries
Calculate Average Delivery Cost:
- Export completed orders
- Sum delivery fee column
- Divide by number of orders
- = Average cost per delivery
Find Top Delivery ZIP Codes:
- Export orders
- Count orders by ZIP code
- Sort by count
- See which areas order most

Export Tips
Filter Before Exporting:
- Don't export everything every time
- Filter to just what you need
- Smaller files are easier to work with
Regular Exports:
- Export monthly for accounting
- Archive exports for your records
- Label files clearly (like "October2025_Orders.csv")
Save Your Exports:
- Keep in organized folder on computer
- Name with date: "Shaloz_Export_2025-11-01.csv"
- Back up important exports
Data Cleanup:
- Excel might auto-format some columns (like ZIP codes)
- Change ZIP codes to "Text" format to keep leading zeros
- Format currency columns as needed

Common Uses
Use Case 1: Tax Time
What You Need: All deliveries from previous year
Steps:
- Filter by date: January 1 - December 31 of tax year
- Export
- Sum delivery fees in "Total" column
- Give to accountant as delivery expense
Use Case 2: Weekly Report
What You Need: This week's deliveries
Steps:
- Filter by date: Last 7 days
- Filter by status: Completed
- Export
- Share with manager/team
Use Case 3: Customer Lookup
What You Need: All orders for specific customer
Steps:
- Search customer name in search box
- Export filtered results
- See full customer order history

Troubleshooting
Problem: "Export" Button Not Showing
Fixes:
- Scroll to top of page - button usually top-right
- Try refreshing page
- Check if you have orders to export (need at least one)
- Try different browser
- Contact help.shaloz.com
Problem: Export File Won't Open
Fixes:
- File is CSV format - make sure you have Excel, Google Sheets, or similar
- Right-click file → "Open With" → Choose spreadsheet program
- If file corrupted, try exporting again
Problem: ZIP Codes Missing Leading Zeros
Example: ZIP code 02101 shows as 2101
Fix in Excel:
- Select ZIP code column
- Right-click → Format Cells
- Choose "Text" format
- ZIP codes keep leading zeros
Problem: Export is Empty
Fixes:
- Check your filters - might have filtered out all orders
- Try "All" status and remove date filters
- Make sure you have orders in that time period
- Verify you're exporting from correct environment (Sandbox vs Production)
Problem: Missing Some Orders
Check:
- Date range filter - orders might be outside dates you selected
- Status filter - might be excluding some statuses
- Pickup location filter - might show only one location
- Try removing all filters and export again

Export Limits
How Many Orders:
- No limit on number of orders you can export
- Large exports (1000+ orders) might take a minute to generate
- Be patient if you have lots of orders
File Size:
- CSV files are usually small (even for hundreds of orders)
- 1000 orders 1-2 MB file
How Often:
- Export as often as you want
- No restrictions
- No charges for exporting

Your Data:
- Exports contain customer personal information
- Store exports securely
- Don't share publicly
- Delete old exports you don't need
Customer Data:
- Names, addresses, phone numbers, emails included
- Keep confidential
